- When planning a backyard wedding, book your tables & seating as soon as you’re able. These will act as the foundation to your celebration and create the environment aesthetic. Book your caterer or food truck as soon as you’re able also.
- Measure out your space – this will help to determine what will fit and how to place it in your space.
- Do you have a separate area to hold your ceremony? Measure this space too.
- If you don’t already have a private ceremony space that stands out right away, can you create a space whether with additional landscaping or with a wood wall type structure?
- Be sure to let your vendors know where they’ll be able to park and if there are any hills or steps to maneuver, where they can plug into an electrical socket if they need to or access to water. If your space has a tight turnaround area, consider staggering your vendor deliveries and pick-ups.
- Keeping a notebook or binder with your vendor information, budget and actual costs, timing of deliveries and pick up, and things you’ll need to delegate to others can help relieve stress and allow you to really enjoy the planning process.
- If you rent a tent, that should be the first item that gets delivered and set up and the last item that gets torn down and picked up.

- What tables your caterer will need and where they’ll be set up. 8’ Tables and 6’ Tables usually work well.
- How late will your celebration go?
- Think about your dance floor – What kind of dance floor do you want – do you have a patio, will you rent a dance floor or maybe you’d like to string lighting over a flat, grassy area or inside of a barn.
- Think about your music/DJ – Are there any noise requirements in your neighborhood?
- Will you need any special one day permits for your neighborhood?
- Your cake table – you’ll have so many photos taken here. Maybe consider having a little extra special set up here. A 4’ table or a live edge specialty table.
- What will your Welcome space look like? Will you need a table and/or décor?
- Will you want a tent?
- Will you want overhead café lighting?
